Why we use business contact information

We use limited business contact information to identify and contact organisations that may have a relevant need for our business-to-business services. Our lawful basis is legitimate interests: our interest in developing our business through relevant, proportionate direct outreach to business decision-makers. We balance that interest against the individual’s privacy rights before contact and do not use this basis where those rights override our interests.

Information we use

We may use your name, job title or business role, employer or business name, business email address, business telephone number, business location, and limited public information about your organisation that helps us assess whether our approach is relevant.

Where the information came from

We obtain this information from publicly available business sources, such as your organisation’s website and public business registers. We may also use reputable business-information providers where appropriate. We identify the source categories in our first communication and can provide more detail on request.

Who receives it

Access is limited to NRS personnel and contracted providers that support our customer relationship management, email, telephony, hosting, security and professional services. Those providers act under appropriate contractual and confidentiality obligations. We do not sell your personal data.

International transfers

Some providers may process information outside the UK. Where they do, we use an appropriate UK transfer mechanism and any additional safeguards required by data-protection law.

How long we keep it

We keep prospect records only for as long as reasonably necessary for the outreach purpose and normally no longer than 12 months after the last meaningful contact, unless a longer period is required to establish, exercise or defend legal claims. If you object or opt out, we keep the minimum information needed on a suppression list so that we can honour your request and avoid contacting you again.

Your rights

You may ask for access to, correction or erasure of your personal data, or restriction of its use, where the law provides those rights. You have the right to object at any time to use of your personal data for direct marketing. We will stop using it for that purpose and add the minimum information needed to our suppression list. Reply to our message with “no thanks” or contact privacy@neoresponsesystems.co.uk.

Automated decisions

We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.

We will update this notice if our business-outreach processing changes materially and will show the effective date on the published page.
